We respect your privacy and are committed to protecting your personal data. This policy explains how Orbis IO Ltd and Covase Ltd collect, hold and use any personal information you supply when using the Orbis platform or orbisio.co.uk.

What data we collect and why

We only collect personal data that is necessary for the purposes of providing our services. This includes:

We do not collect sensitive personal data except where a physical or mental health vulnerability is disclosed directly during an order process. We never rent or trade email lists with other organisations.

How we use your data

Your data is used for: processing orders and contracts, ongoing service communications, delivering fleet management and compliance services, providing the Orbis platform functionality, and improving our products and services.

Your data may be shared with selected third parties where necessary to deliver our services — including finance providers, approved dealerships, motor manufacturers, and our technology partners (including High Mobility). We only use third parties who have sufficient data security measures to comply with UK GDPR.

Your rights

Access

You can request a copy of all personal data we hold about you. We will respond within 14 days, free of charge.

Rectification

If your data is inaccurate or incomplete, you have the right to have it corrected. We typically respond within 14 days.

Erasure

You can ask us to delete your personal data in certain circumstances. See the ICO's guidance on this right.

Withdraw consent

You can withdraw consent at any time. Note this may affect your ability to use our services. Contact our DPO in writing.

Data security

We maintain physical, technical and organisational systems to safeguard personal data in line with UK GDPR requirements. Personal data is stored in a UK data centre. All staff must adhere to and acknowledge our confidentiality and data protection policies annually.

Some of the third-party tools listed below are provided by companies based outside the UK, so using them involves transferring personal data internationally. Where that happens, the transfer relies on the UK Extension to the EU-US Data Privacy Framework where the provider is certified under it, or on an International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses where it is not.

Cookies and tracking

We use a small number of analytics and performance tools to understand how the site is used and to improve it. You can accept, decline or customise the use of these tools via the cookie banner that appears on your first visit, and at any time afterward via the link in the footer.

The site is hosted on Vercel, which may set functional cookies required for security and CDN operation. These are not used for tracking. Contact forms on this site are processed on our own infrastructure and delivered via Resend (transactional email), in accordance with its privacy policy. The authenticated Orbis platform (used by fleet customers — separate from this marketing site) uses cookies for session management only.

Anonymous calculator usage

When you use a calculator on this site (such as the company car tax calculator), we record an anonymous, aggregated summary of the calculation so we can understand which options people model and publish research about UK company car taxation. This is first-party data. It is not shared with any third party and is not used for advertising.

What we record is deliberately coarse. Figures such as the P11D value and the resulting monthly tax are stored as ranges, never as exact numbers, and the time is stored to the nearest hour. We record the fuel type, the taxpayer band, the tax year and whether a registration lookup was used.

We do not record your vehicle registration number, your name, your email address, your IP address or your browser details, and we do not create a profile of you or link your calculations across visits. Because the data is stored as ranges rather than exact values, and carries no identifier, we cannot connect a stored calculation back to any individual.

This collection only happens if you have accepted analytics cookies. If you decline, or have not yet responded to the cookie banner, nothing is recorded and the calculator works exactly as normal. Where we publish figures derived from this data, we exclude any grouping too small to be reported safely.
